Palm Beach AI, LLC, based in Palm Beach Gardens, Florida, operates this website and the public Flagship chatbot linked from it. Flagship demonstrates Hotel Concierge using information about a fictional hotel.
This notice covers those public resources and inquiries sent to Palm Beach AI. A hotel using our service on its own website may provide additional privacy information about its use of the service.
2. When you contact us
Our contact form collects your name, email address, inquiry topic, message, and hotel or business name if you provide one. These details are sent to our support mailbox through Zoho Mail. Direct emails and subsequent replies also become part of our correspondence.
We use this information to respond to your inquiry, discuss setup or services, and provide requested assistance.
The contact form uses Google reCAPTCHA to help prevent spam and automated abuse. Our backend also records limited verification diagnostics and operational errors, such as verification results and whether an email submission failed.
3. When you use Flagship
The chatbot processes the questions you enter to provide responses based on configured hotel information.
Questions submitted through the unanswered-question logging feature are saved in Google Cloud Firestore for review and improvement of question coverage. Each record contains up to 500 characters of question text, a creation timestamp, and an expiration timestamp, associated with the relevant hotel.
These records do not contain separate visitor-name, email, or IP-address fields. However, personal information included in the question itself can be saved as part of that text. Please do not assume a question is anonymous simply because the chatbot does not ask for your name.
The backend also maintains a daily count of unanswered-question submissions per hotel to limit logging volume. This is a per-hotel count rather than a visitor profile.
4. Technical and security information
Delivering the website and chatbot requires processing technical information such as IP addresses, requested pages or resources, browser information, and request times. Our hosting and security providers may process or retain this information in operational and security logs.
We use Google Firebase and Google Cloud for hosting, backend processing, and chatbot data storage. Firebase App Check protects the chatbot’s unanswered-question submission endpoint.
Security services, including reCAPTCHA, may process device, browser, and interaction information and use cookies or similar technology to distinguish legitimate requests from automated abuse. Blocking those technologies may affect the contact form or protected chatbot features.
Our pages also load fonts from Google Fonts. Your browser connects to Google to retrieve those fonts, which involves transmitting technical request information, including your IP address.
5. Service providers
Information is processed by the providers needed to operate the features you use:
- Google Firebase and Google Cloud: website and chatbot infrastructure, database storage, and security services.
- Google reCAPTCHA: automated-abuse protection for the contact form.
- Google Fonts: delivery of the website’s fonts.
- Zoho Mail: delivery and storage of contact inquiries and email replies.
These services may process information outside your state or country. Their handling of information is governed by the applicable service agreements and privacy documentation.

6. Storage and retention
Contact inquiries and replies are stored in our email system. Unanswered chatbot questions are stored separately in Firestore. Operational and security logs are managed through the relevant infrastructure providers.
Retention varies by record type and the settings of the service holding it. This notice does not promise a fixed automatic deletion deadline. An expiration timestamp on a question record should not be interpreted as a guarantee that deletion occurs at that exact time.
To ask about information you submitted or request its deletion, contact support@palmbeachai.io . Any information that must be retained for applicable legal obligations or resolving a dispute may be handled differently.
7. Your choices and requests
You can browse without submitting a contact inquiry, choose what to include in a message, and avoid entering personal information into the chatbot. You can also manage cookies and site storage through your browser settings.
Contact us to request access to, correction of, or deletion of personal information you have provided. Depending on your location and applicable law, you may have additional privacy rights.
We may need to verify your identity before acting on a request. For a chatbot question, providing the approximate date and enough of the question to locate it may help. Because question records are not linked to a named visitor account, we may not be able to reliably identify which records belong to you. Do not send passwords or sensitive documents with your request.
8. Protecting information
We use measures such as HTTPS, access controls, server-side validation, and protected backend credentials to help safeguard the service. No website, transmission method, or storage system can be guaranteed completely secure.
